Electronic Forms Changing Year Tutorial

This tutorial explains how to advance the school year for electronic forms after you have promoted students using the Quick Promote Wizard. Follow the steps below to activate online forms for the new school year.

Important: Once the online forms year has been changed, it CANNOT be changed back. Make sure you are ready to move forward to the new school year before proceeding.
1 Navigate to the Quick Promote Wizard

After promoting your students, navigate to the Quick Promote Wizard in Rank One Pro. This is where you will activate online forms for the upcoming school year.

2 Click the Activate Online Forms Button

Click the Activate Online Forms button to begin the process of changing the online forms year to the new school year.

3 View the Success Message

After clicking the button, a success message will appear confirming that the online forms have been activated for the new school year.

4 Set the Date Forms Active From

Set the Date Forms Active From field. This is the date when online forms will become available to parents and students for the new school year.

5 Set the Date Forms Active To

Set the Date Forms Active To field. This is the date when online forms will no longer be accessible. After this date, users will see the inactive forms message instead.

6 Set the Inactive Forms Message

Enter the Inactive Forms Message that parents and students will see when they attempt to access online forms outside of the active date range. This message should inform them that forms are not currently available and provide any relevant instructions.

Important: Remember to change the year at the top of the Master List to match the new school year. This ensures that all forms and student data are displayed for the correct year.
